An invoicing system is a necessity for any successful business. Invoices allow businesses to inform clients about how much they must pay and the work completed for them. This makes it one of the most fundamental aspects about running a business. Without sending a bill or an invoice, companies would have to wait an extremely long time to get paid, if they ever got paid at all. By following some basic guidelines, any business can create a successful and unique invoice that will grab the attention of customers.
(1.) – Include All Contact Information
Customers should be able to find all the sellers contact information on the invoice. This will allow them to contact the seller if they have questions or problems, and it will also allow them to know who to contact if they have any future work. The company’s name, address, email, and phone number should all be included. Additionally, the contact information for the client should also be listed.
(2.) – Create an Invoice Number
Invoice numbers help to keep company records organised and in order. If a customer has multiple orders, invoice numbers will help to tell them apart. Many computer systems will also allow companies to sort orders and files by the invoice number. This will make the record extremely easy to find when necessary.
(3.) – Include an Itemised Cost Breakdown
This list indicates exactly what the customer is charged for, and it should specify the cost of each item. This section should also have room for detailed descriptions of each task. If the person is charging a flat fee, an item may look like this:
- Full colour logo and design: $750.00
If the customer was charged by the hour, then the item may look more like this:
- Full colour logo and design ($75.00/hour): 10 hours X $75.00 = $750.00
This itemised list will help the customer to know exactly what they are being charged for, and it will eliminate discussions about how the seller determined the total.
(4.) – Use an Invoice Template
This will help the company to create an invoice that contains all the necessary information. Invoice templates allow entrepreneurs to design an invoice that is unique to them and their business. There are some templates available in programs like Adobe that can be edited to fit the needs of any business or organisation. The invoice is one of the last forms of contact with a client, so a creative, clear invoice will leave the customer with a lasting impression of the company.
(5.) – Outline the Terms
Companies should include their terms in the invoice. They need to include a time frame for when payment is expected. If there are any repercussions for failure to pay on time, those terms should be listed. It is crucial to outline these terms so if the company needs to send past-due notices or charge interest there is proof that the terms were explained to the customer.
(6.) – Describe the Payment Options
When customers look at a bill, they often search for information on payment. The invoice should outline what payment options are available, including the types of credit or debit cards accepted. If the company’s bank charges them for any special type of payment, the company should make sure that the customer knows if they will need to cover those charges.
(7.) – Include Conversions
Some Internet business may allow or require a company to do business with customers in another country. When an invoice is sent, the client may not entirely understand how much they are being charged if the amount is in U.S. dollars. To reduce confusion, the company can use a reputable online conversion calculator to determine the cost to the client’s native currency as exemplified below:
- Full colour logo and design: $750.00 (5,155.44 SEK)
This example shows the amount the client owes in U.S. dollars and in the Swedish Kronor.
(8.) – Include the Bottom Line
The first thing that most people do when they receive an invoice is look for the total amount that they owe. The services listed in the itemised breakdown should be added, and the total amount owed should be stated at the bottom of the invoice. This will ensure that the customer sees it.
(9.) – Try an Invoicing Application
If customers need more assistance with the process of creating an invoice, there are some computer based applications that can assist them. Programs such as Billing Manager, PayPal, FreshBooks, Blink Sale, and Less Accounting provide basic software that will generate invoices for a company with ease.
(10.) – Say Thanks
The invoice should also thank the company’s customer for their business. This will end the interaction on a positive note, and it may bring the client back for future business.
In summary, implementing the recommendations listed above will help to elevate a company’s presentation of its invoices. Clear invoices are invoices that will be paid more quickly.

Four More Tips to a Better Blog
Blogging is rewarding in so many ways, and for those of us who dedicate the time to researching, writing, and publishing our best works it is something we would likely call a passion. And it is for this reason that we continually strive to improve our blogs, by adding more content, more features, and perpetually striving to drive ever more traffic to it, in order that we might showcase our thoughts for the world to see.
I’m going to share a few of the blog improvement tips that I’ve implemented in order to make it more productive and even more profitable for me.
Tip #1:
Develop a blog post checklist, and use it prior to publishing each and every post. A basic step that many people overlook is to read it after you’ve written it. Often times you’ll find mistakes in prose that you didn’t notice while putting it together the first time. Spell check it, prior to publishing it, good grammar, and spelling go a long way to lending itself toward professionalism. Spend more than a minute on the title, often this is the most important aspect of a post. Double check your links if you’ve included any, and remember to give credit if you’ve used information from another website or source. If you are including an image, try to pick an attractive and clear image that lends itself to the overall picture of the post. I recommend you implement your very own checklist made up of key areas that are important to you.
Tip #2:
Make it easy for people to reach out to you, and you can do this by making sure you have a strong presence on Facebook, Twitter, include either an email for them to reach you, or a contact form so that you can stay in touch with your audience. Another great tool that you have at your disposal for communicating with your readers, is the comments section after each post, make sure you are utilizing it to the best of your ability and making the most of the plugins that assist with this process. Two plugins that I would recommend are:
1. Subscribe to comments which allow your readers to check so that if they ask a question or are just interested in the topic being discussed they can receive an email whenever a new comment is left on that particular blog post.
2. Top commentator plugin is a great way to reward your readers for leaving those valuable comments behind, you can set it to reset at a given time frame. It simply calculates the number of comments each reader leaves, and then you can give the top five (or however many you choose) a nice backlink to their site.
Tip #3:
Now this tip could have been included in the previous one since it is a form of communication, but it is so much more, and I felt it deserved its own tip #! Email Marketing! Now whether or not you plan to ever sell a single item or make a single cent from your blog, you should still not be ignoring this one. By offering your readers something of value in exchange for their email address, you are able to reach out to them, and contact them at will. There is no better way of driving additional traffic to a new section of your site, or even just to your new blog posts this week. If you mail out to 50,000+ people this week telling them about your weeks blog posts how much more traffic do you think you will receive this week from that source alone? I get about a 20 – 30 % open rate on my blog posts that get emailed out to my subscribers each week (or after they reach a total of 7 new posts). With 50,000 subscribers that works out to anywhere from 1429 people a day to 2143 people a day of people who might not have stopped by for a visit to your site that week. Many of you may not even be getting 1500 – 2000 people a day, so you can see that by spending the time to develop this area, you will certainly see results in the long run.
Tip #4
Take the time to fix and repair any damaged areas of your blog, just as you would your home. If a light bulb burns out, you fix it; likewise if a link gets broken, fix it. Spend some time each week doing maintenance on your blog, here is a quick checklist for you.
- No CSS errors
- No Html errors, I use http://validator.w3.org/ to check these two areas.
- Check your site for broken links and update. Also make sure to check on your affiliate links, or banners that you have installed to make sure each site you are linking too hasn’t gone offline for some reason.
- Make use of Google’s Webmaster Tools to verify that your sitemap is working correctly, and there are no crawl errors, if there are fix them. (These affect your traffic from Google quite drastically, if you notice a sudden drop in traffic I suggest you take a look here).
- Make sure you’ve added alt tags to all of your images, and that they are optimized.
- Now is also a great time to make your to do list for the coming week ahead and list out any modifications you’d like to implement, plugins you’d like to try, or any other tweaks that you feel might benefit your blog in some way.
Building your blog is an ongoing process that you will be undertaking for many years to come, and over time you will grow and evolve your own skills and tactics as well, and those changes will be reflected in the works that you publish, the overall theme that you end up going with, and the site that is known as your blog!
